Personal data protection and information security have always been a priority for MWT SOLUTIONS S.A. As a responsible and conscious organization, we are committed to keeping you properly informed about matters related to the processing of personal data, especially in connection with the European Parliament and Council Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as “GDPR,” and the Personal Data Protection Act of May 10, 2018. We are aware that information has a specific value that must be protected in an appropriate manner. With the security of your data in mind, this document presents key information on the legal basis for the processing, use, and collection of personal data.
2. Data controller
The administrator of personal data collected via this website is MWT SOLUTIONS S.A. with its registered office at ul. Szyperska 14, Poznań 61-754, hereinafter referred to as the “Company.”
We are a leader in the field of information security in the broadest sense. Since 2006, we have been providing our clients with comprehensive advice on how to properly secure key data, select protection measures appropriate to the threats present, and develop and implement appropriate procedures. We support our services with specialized IT tools.

3. Purposes and grounds for processing
a) if you use our contact form on the website, your data is processed on the basis of the legitimate interest of the Administrator (Article 6(1)(f) of the GDPR), which is to respond to your question and conduct correspondence, or if the correspondence is aimed at concluding a contract with us for the performance of the contract or taking steps to conclude such a contract, at the request of the person providing their data (Article 6(1)(b) of the GDPR),
b) if you have subscribed to our newsletter, your data is processed on the basis of your consent to send commercial and marketing information to the email address provided (Article 6(1)(a) of the GDPR),
c) your data is also processed on the basis of your consent if you have given it to us by telephone for commercial and marketing purposes (Article 6(1)(a) of the GDPR),
d) in the case of email correspondence, your data is processed for the purpose of communicating with you, including responding to questions you have asked us, which is our legitimate interest (Article 6(1)(f) of the GDPR),
e) if you register for our webinar or download a recording, we process your data, i.e. your name, email address, and company name, based on your consent to receive commercial and marketing content and for the purpose of confirming your identity (Article 6(1)(a) of the GDPR),
f) if you have registered for a training course organized by us, we process your data on the basis of the contract concluded for participation in the training course and for tax purposes (Article 6(1)(b) and (c) of the GDPR),
g) if you have participated in our training, webinar or event organized by us, we may send you satisfaction surveys to improve the quality of our services, which is our legitimate interest (Article 6(1)(f) of the GDPR),
h) if you have contacted us via our hotline, we process your data on the basis of the legitimate interest of the Administrator, which is to ensure the security and improve the quality of our services (Article 6(1)(f) of the GDPR). By contacting our hotline, you consent to the recording of calls (Article 6(1)(a) of the GDPR),
i) data of Users who have liked our Company’s business profile on Facebook at: https://www.facebook.com/people/MWT-Solutions-SA/100063819870735/, LinkedIn at: https://www.linkedin.com/company/mwt-solutions/, Twitter at: https://twitter.com/mwtsolutions, YouTube at: https://www.youtube.com/user/mwtsolutions and will be used for the purposes of administering and managing the above-mentioned business profile of MWT SOLUTIONS S.A., communicating with Users, including responding to questions, interacting, informing about events, interesting information, services and products offered by the Administrator, creating communities on the above-mentioned social media based on the consent given by following the profile (Article 6(1)(a) of the GDPR).
In connection with this, MWT SOLUTIONS S.A., as the Administrator of the above-mentioned business profiles, may generate anonymous statistical data about visitors to the websites using the functions provided by the providers.
The user voluntarily decides to like/follow/interact on the profile/page/group on a given social media platform. The rules governing the MWT SOLUTIONS S.A. business profile on the providers’ platforms are set by the Administrator, however, the rules for using social media platforms are set out in the regulations of the providers who are joint data controllers.
You may unfollow or even block the Administrator’s profile on a social media platform at any time. Due to the specific nature of the platforms used by the Administrator, only the “block user” option will prevent any content created by the Administrator from being displayed to you. In all other respects, the content available on a given social media platform is public.
The Administrator processes publicly available personal data, such as first name, last name, and other information that is posted on User profiles and is publicly available.
4. Use of social plugins
On the website https://mwtsolutions.eu/, we use so-called social plugins (“plugins”) from the social networks Facebook and LinkedIn. If you interact with a plugin, cookies will be used to identify you and initiate a request.
Upon activation of the plugin, your personal data is transmitted to the respective plugin provider and stored on their servers. Since the plugin provider collects this data primarily through cookies, we recommend that you delete all cookies using the options in your browser’s security settings.
MWT SOLUTIONS S.A. has no influence on the data collected and the data processing processes, nor does it have knowledge of the full scope of their collection, the purpose of their processing or the duration of their storage. We also have no information about the deletion of data collected by plugin providers. Thanks to the plugin mechanism, you have the option of integrating with social networks and other users, which allows us to improve our offer and make it closer to your preferences.
The legal basis for the use of plugins is Article 6(1)(f) of the GDPR.

5. Processing time
MWT SOLUTIONS S.A. processes personal data and stores it for a period of time depending on the legal basis constituting the legal grounds for the processing of personal data, i.e.:
- if you have contacted us using the contact form on the website, we will process your data until we respond to you. If you are interested in our commercial offer, your data will be processed until you conclude a contract with us or we issue a refusal. If you have subscribed to our newsletter, your data will be processed until you withdraw your consent to the processing of personal data, i.e. until you unsubscribe from the newsletter.
- if you have given us your consent to contact you by telephone, your data will be processed until you withdraw your consent to the processing of personal data,
- in the case of email correspondence, your data will be processed for a period of 5 years,
- if you participated in our webinar, your data will be processed until you withdraw your previously given consent to the processing of personal data,
- if you participated in our training, your data will be processed until the performance of the concluded contract and for the next 5 years, counting from the end of the calendar year in which the payment for the training was made,
- surveys are sent to you within a maximum of two weeks after the end of the training, webinar or other event organized by MWT SOLUTIONS S.A.,
- data of Users who have liked the MWT SOLUTIONS S.A. business profile available on social media (Facebook, Linkedin, X, YouTube) will be processed for as long as you follow our above-mentioned profiles.
6. Rights of persons whose data is processed
Every person whose data is processed by us has the following rights:
- the right to access personal data,
- the right to rectify personal data,
- the right to delete personal data,
- the right to restrict processing,
and, in the case of processing by us based on the legitimate interest of the controller:
- the right to object on grounds relating to your particular situation, unless we demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms or for the establishment, exercise or defense of legal claims.
Furthermore, if we process your data based on your consent or in order to perform a contract concluded with us, you have the right to data portability. If you have given your consent to the processing of personal data, you have the right to withdraw your consent at any time, without affecting the lawfulness of the processing carried out on the basis of your consent prior to its withdrawal.
You also have the right to lodge a complaint with the supervisory authority, which is the President of the Personal Data Protection Office (PUODO).

7. Requirements for providing personal data
Providing data when submitting an inquiry via the contact form or conducting email correspondence is necessary in order to respond to your questions and for general communication.
Providing data for the purpose of receiving a newsletter and telephone contact is voluntary.
Consent to the processing of personal data in connection with participation in a free webinar is voluntary, but without it, participation in the webinar and downloading the recording will not be possible.
Providing personal data when registering for a training course is necessary to conclude a contract for the training.
Participation in a satisfaction survey is voluntary.
8. Data recipients
We transfer personal data to other entities based on legal requirements or in connection with the purpose for which they were provided to us. At the same time, we declare that we only use the services of trusted entities that are known on the local market and provide data security guarantees. The agreements under which we entrust the processing of personal data contain provisions on the security measures we require to ensure the confidentiality, integrity, and availability of the data provided.
Your data may be disclosed to entities that provide us with IT services (including website hosting).
If you have expressed your wish to receive a newsletter, your data may be transferred to the company providing IT services in order to perform the requested service.
In addition, we use a cookie management tool.
We also use the support of external providers of platforms for webinars and online training and registration for them.
We use tools provided by Microsoft to handle all correspondence, including email correspondence.
We use solutions provided by ZOHO to manage our databases.
We use tools provided by ZOHO Survey and Microsoft Forms to conduct satisfaction surveys.
9. Transfer of data outside the European Economic Area
We do not transfer data outside the European Economic Area.
10. Profiling and automated data processing
Profiling is a form of automated processing of personal data that involves using personal data to evaluate certain personal factors relating to a natural person, in particular to analyze or predict aspects concerning that person’s performance at work, economic situation, health, personal preferences, interests, behavior, location, or movements.
We use profiling to track your online activity and identify your interest in our services.
By entering our website, you provide us with your IP address. This allows us to see your traffic on our website. If you use our contact form, the data provided in it will be synchronized with the above-mentioned IP address. By tracking traffic on our website, we assign points to individual IP addresses for each activity performed on it. Once a certain number of points has been reached and if you use our contact form, i.e. after the data provided in it has been synchronized with your IP address, our sales representatives may decide to contact you to offer our services. If you do not use our contact form (i.e. no data synchronization), the points assigned to IP addresses are reset after 30 days.
11. Cookies
To a limited extent, we may collect personal data automatically through cookies on our websites. Cookies are small pieces of data stored on your computer, tablet, or smartphone for the purpose of using websites. Cookies usually contain the name of the website they come from, their storage time on your device, and a unique number.
Visitors to the website will be presented with information about cookies in accordance with legal regulations until the visitor accepts/closes this information. Data on the acceptance of this information will be stored in cookies on the visitor’s computer.
Our website and the services it offers use cookies for the following purposes:

- website and service configuration (enabling us to place features and services on the website)
- authentication – they can inform users (including you) that they are logged in, allowing the website to display relevant information and functions,
- analyzing and researching your (as a portal user) behavior – this allows us to read preferences related to the services we provide, and thus analyze, improve, and develop the products and services we offer.
- advertising – thanks to cookies, we are able to provide you with more interesting and personalized advertisements, which may be displayed in remarketing campaigns on Facebook ADS, LinkedIn ADS, and Google ADS after you visit our website.
The information collected includes your IP address, browser type, language, operating system, internet service provider, time and date of your visit, and information sent to the website via the contact form.
The collected data is monitored by us. For this purpose, we use tools related to contact profiling using the Marketing Automation system. To analyze the use of our website, we use Google Analytics tools, which record your traffic on the website.
The website uses two types of cookies: “session” cookies and “persistent” cookies. Session cookies are temporary files that are stored on the User’s end device until they log out, leave the website, or turn off their software (web browser). Persistent cookies are stored on the User’s end device for the time specified in the cookie parameters or until they are deleted by the User.
The following types of cookies are used on the website:
a) “necessary” cookies, enabling the use of services available on the website;
b) cookies used to ensure security;
c) “performance” cookies, enabling the collection of information on how websites are used;
d) “functional” cookies, enabling the “remembering” of settings selected by the User and personalization of the User interface.
In many cases, software used for browsing websites (web browser) allows cookies to be stored on the User’s end device by default. Website Users may change their cookie settings at any time. These settings can be changed in particular to block the automatic handling of cookies in the web browser settings or to inform the User each time they are placed on the Website User’s device. Detailed information about the possibilities and methods of handling cookies is available in the software (web browser) settings. Deleting or blocking cookies is always possible. The website user can do this personally in the appropriate settings of their browser.

We undertake to regularly review this Privacy Policy and amend it if necessary or desirable due to: new legal provisions, new guidelines issued by authorities responsible for supervising personal data protection processes, best practices in the field of personal data protection.
