As a responsible and conscientious organization, we are committed to keeping you properly informed about matters related to the processing of personal data, particularly in light of the entry into force of Regulation (EU) (EU) 2016/679 of April 27, 2016, on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC, hereinafter referred to as the “GDPR,” and the Personal Data Protection Act of May 10, 2018. We are aware that information has a specific value that must be protected appropriately. With the security of your data in mind, this document presents key information regarding the legal basis for the processing, use, and collection of personal data.

The controller of the personal data collected through this website is MWT SOLUTIONS S.A., with its registered office at ul. Szyperska 14, Poznań 61-754, hereinafter referred to as the “Company”.

We are a leader in the field of information security in the broadest sense. Since 2006, we have been providing comprehensive advice to our clients on how to properly secure critical data, select security measures appropriate to the existing threats, and develop and implement relevant procedures. We support our services with specialized IT tools.

3. Purposes and legal basis for processing

a) If you use our contact form on the website, your data is processed based on the Controller’s legitimate interest (Article 6(1)(f) of the GDPR), which is to respond to your inquiry and conduct correspondence, or if the correspondence is aimed at entering into a contract with us, for the purpose of performing the contract or taking steps to enter into such a contract, at the request of the person providing their data (Article 6(1)(b) of the GDPR),

b) if you have subscribed to our newsletter, your data is processed based on the consent you have given us to send commercial and marketing information to the email address you provided (Article 6(1)(a) of the GDPR),

c) Your data is also processed on the basis of your consent if you have given it for telephone contact for commercial and marketing purposes (Article 6(1)(a) of the GDPR),

d) When communicating via email, your data is processed for the purpose of communicating with you, including responding to questions you have asked us, which constitutes our legitimate interest (Article 6(1)(f) of the GDPR),

e) When you register for our webinar or download a recording, we process your data—namely, your first and last name, email address, and company name—based on your consent to receive commercial and marketing communications and for the purpose of verifying your identity (Article 6(1)(a) of the GDPR),

f) If you have registered for a training course organized by us, we process your data on the basis of the contract for participation in the training course and for tax purposes (Article 6(1)(b) and (c) of the GDPR),

g) if you have participated in one of our training sessions, webinars, or events organized by us, we may send you satisfaction surveys to improve the quality of our services, which is our legitimate interest (Article 6(1)(f) of the GDPR),

h) If you have contacted us via our hotline, we process your data on the basis of the Controller’s legitimate interest in ensuring security and improving the quality of the services we provide (Article 6(1)(f) of the GDPR). By contacting our hotline, you consent to the recording of calls (Article 6(1)(a) of the GDPR),

i) data of Users who have liked our Company’s business profile on Facebook, LinkedIn at: https://www.linkedin.com/company/mwt-solutions/, Twitter at: https://twitter.com/mwtsolutions, YouTube at: https://www.youtube.com/user/mwtsolutions for the purpose of administering and managing the aforementioned MWT SOLUTIONS S.A. business profile, to communicate with Users, including answering questions, interacting with them, informing them about organized events, interesting information, services, and products offered by the Controller, and building a community on the aforementioned social media platforms based on the consent granted by viewing the profile (Article 6(1)(a) of the GDPR).

Accordingly, MWT SOLUTIONS S.A., as the controller of the aforementioned business profiles, may generate anonymous statistical data regarding website visitors using features provided by third-party providers.

The user voluntarily chooses to like, follow, or interact with a profile, page, or group on a given social media platform. The rules governing the MWT SOLUTIONS S.A. business profile on provider platforms are established by the Administrator; however, the rules for using social media platforms are based on the terms of service of the providers who are joint data controllers.

You may unfollow or even block the Administrator’s profile on a social media platform at any time. Due to the nature of the platforms used by the Administrator, simply selecting the “block user” option will prevent any content created by the Administrator from being displayed to you. In all other respects, the content available on a given social media platform is public.

The administrator processes publicly available personal data, such as first name, last name, and other information that is posted on Users’ profiles and is publicly accessible.

4. Using Social Plugins

On the website https://mwtsolutions.eu/, we use so-called social plugins (“plugins”) from the social networks Facebook and LinkedIn. If a user interacts with a plugin, cookies will be used to identify the user and initiate a request.

Once the plugin is activated, the user’s personal data is transmitted to the respective plugin provider and stored on their servers. Since the plugin provider collects this data primarily through cookies, we recommend deleting all cookies using the options in your browser’s security settings.

MWT SOLUTIONS S.A. has no control over the data collected or the data processing procedures, nor does it have knowledge of the full scope of data collection, the purpose of processing, or the duration of data retention. We also have no information regarding the deletion of data collected by plugin providers. Thanks to the plugin mechanism, users can integrate with social networks and other users, which allows us to improve our offering and make it better aligned with user preferences.

The legal basis for the use of plugins is Article 6(1)(f) of the GDPR.

5. Processing time

MWT SOLUTIONS S.A. processes personal data and retains it for a period of time determined by the legal basis justifying the processing of personal data, namely:

  1. If you have contacted us using the contact form on our website, we will process your data until we have responded to you. If you are interested in our commercial offer, your data will be processed until a contract is concluded with us or a decision to decline is made. If you have subscribed to our newsletter, your data will be processed until you withdraw your consent to the processing of personal data, i.e., until you unsubscribe from the newsletter,
  2. If you have given us your consent to contact you by phone, your data will be processed until you withdraw your consent to the processing of your personal data,
  3. When communicating via email, your data is processed for a period of 5 years,
  4. If you participated in our webinar, your data will be processed until you withdraw your previously given consent to the processing of your personal data,
  5. If you participated in our training, your data will be processed until the contract is fulfilled and for an additional 5 years, starting from the end of the calendar year in which payment for the training was made,
  6. Surveys are sent to you within two weeks of the conclusion of a training session, webinar, or other event organized by MWT SOLUTIONS S.A.,
  7. The data of users who have liked the MWT SOLUTIONS S.A. business profile on social media platforms (Facebook, LinkedIn, X, YouTube) will be processed for as long as you follow our profiles on those platforms.

6. Rights of data subjects

Every individual whose data we process has the following rights:

  • the right to access personal data,
  • the right to correct personal data,
  • the right to have personal data erased,
  • the right to restrict processing,

and also when we process data based on the controller’s legitimate interest:

  • the right to object on grounds relating to your particular situation, unless we demonstrate compelling legitimate grounds for the processing that override your interests, rights, and freedoms, or grounds related to the establishment, exercise, or defense of legal claims.

In addition, if we process your data based on your consent or to fulfill a contract you have entered into with us, you have the right to data portability.

If you have consented to the processing of your personal data, you have the right to withdraw your consent at any time, without affecting the lawfulness of the processing carried out on the basis of your consent prior to its withdrawal.

You also have the right to file a complaint with the supervisory authority, namely the President of the Personal Data Protection Office (PUODO).

7. Requirements for providing personal information

Providing your information when submitting an inquiry via the contact form or communicating via email is necessary so that we can answer your questions and communicate with you.

Providing your information to receive the newsletter and for telephone contact is voluntary.

Consent to the processing of personal data in connection with participation in the free webinar is voluntary; however, if you do not provide your consent, you will not be able to participate in the webinar or download the recording.

Providing personal information when registering for a training course is necessary to enter into a contract for the training.

Participation in the satisfaction survey is voluntary.

8. Recipients of the data

We disclose personal data to other entities in accordance with legal requirements or in connection with the purpose for which it was provided to us. At the same time, we declare that we use only the services of trusted entities that are well-known in the local market and provide guarantees of data security. The agreements under which we entrust the processing of personal data include provisions regarding the security measures we require to ensure the confidentiality, integrity, and availability of the data provided.
Your data may be disclosed to entities that provide us with IT services (including website hosting).
If you have opted in to receive the newsletter, your data may be shared with an IT service provider in order to fulfill the requested service.
In addition, we use a cookie management tool.
We also rely on external providers of platforms for hosting webinars and online training sessions, as well as for managing registrations for these events.
We use tools provided by Microsoft to handle all correspondence, including email. For managing correspondence (including email), we use cloud-based tools provided by Microsoft, including AI-based solutions that help us organize and summarize message exchanges related to the bidding and sales process. These tools are not used for profiling or to make fully automated decisions regarding you.
We use solutions provided by ZOHO to manage our databases.

9. Transfer of data outside the European Economic Area

We do not transfer data outside the European Economic Area.

10. Profiling and automated data processing

Profiling is a form of automated processing of personal data that involves using personal data to evaluate certain personal aspects of a natural person, in particular to analyze or predict aspects concerning that person’s performance at work, economic situation, health, personal preferences, interests, behavior, location, or movements.

We use profiling to track your online activity and identify your interest in our services.

By visiting our website, you are providing us with your IP address. It allows us to see your activity on our website. If you use our contact form, the data you provide will be synchronized with the above-mentioned IP address. By tracking traffic on our website, we assign points to individual IP addresses for every action taken on the site. Once you have reached a certain number of points and if you use our contact form, i.e. Once the data provided in it has been synchronized with the IP address, our sales representatives may decide to contact you to offer our services. If you do not use our contact form (i.e., if data is not synchronized), the points assigned to IP addresses will be reset after 30 days.

To a limited extent, we may collect personal data automatically through cookies on our websites. The information collected includes your IP address, browser type, language, operating system, internet service provider, time and date, location, and information submitted to the website via the contact form.

We monitor the data we collect. To this end, we use tools for contact profiling via a marketing automation system. To analyze usage of our website, we use Google Analytics, which tracks your activity on the site.
