The protection of personal data and information security have always been treated as a priority in the operations of MWT SOLUTIONS S.A.. As a responsible and conscious organization, we aim to properly inform you about matters related to the processing of personal data, particularly in connection with the provisions of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as the “GDPR”), as well as the Polish Personal Data Protection Act of 10 May 2018.
We recognize that information has a specific value and must be appropriately protected. With the security of your data in mind, this document outlines key information regarding the legal basis for personal data processing, as well as the ways in which such data is obtained and used.
2. Data Controller
The controller of the personal data collected via this website is MWT SOLUTIONS S.A., with its registered office at ul. Szyperska 14, 61-754 Poznań, Poland (hereinafter referred to as the “Company”).
We are a leader in the field of information security in its broadest sense. Since 2006, we have been comprehensively advising our Clients on how to properly secure critical data, select appropriate protection measures according to existing threats, and develop and implement relevant procedures. Our services are supported by specialized IT tools.

3. Purposes and Legal Bases for Data Processing
- a) Contact Form
When you use our contact form on the website, your personal data is processed based on the legitimate interest of the Controller (Article 6(1)(f) GDPR), which is to respond to your inquiry and maintain correspondence. If the correspondence is aimed at concluding a contract with us, your data is processed for the performance of a contract or to take steps at your request prior to entering into a contract (Article 6(1)(b) GDPR). - b) Newsletter Subscription
If you have subscribed to our newsletter, your personal data is processed based on your consent to receive commercial and marketing information sent to the email address you provided (Article 6(1)(a) GDPR). - c) Telephone Contact for Marketing Purposes

When you register for our webinar or download a recording, we process your personal data (such as name, email address, and company name) based on your consent to receive commercial and marketing content and to confirm your identity (Article 6(1)(a) GDPR). - f) Training Registration
If you have registered for a training organized by us, your data is processed for the performance of a contract related to your participation in the training and for tax purposes (Article 6(1)(b) and 6(1)(c) GDPR). - g) Satisfaction Surveys
If you have participated in our training, webinar, or any event organized by us, we may send you satisfaction surveys to improve the quality of our services, which is our legitimate interest (Article 6(1)(f) GDPR). - h) Contact via Hotline
When you contact us through our hotline, your personal data is processed based on the legitimate interest of the Controller, which is to ensure security and improve the quality of our services (Article 6(1)(f) GDPR). By contacting our hotline, you give your consent to call recording (Article 6(1)(a) GDPR). - i) Business Profiles on Social Media

is processed for the purposes of administering and managing the above business profiles, communicating with users (including responding to inquiries, engaging in interactions, providing information about events, relevant news, services, and products offered by the Controller), and building a community on these platforms, based on the user’s consent expressed by following or interacting with the profile (Article 6(1)(a) GDPR).
As the Controller of these business profiles, MWT SOLUTIONS S.A. may generate anonymous statistical data about visitors using functionalities provided by the platform providers.
Users voluntarily choose to like, follow, or interact with the profile/page/group on a given social media platform. While the Company defines the rules for its business profile, the general rules for using social media platforms are determined by the providers, who act as joint controllers of the data.
You may unfollow or block our profile at any time. Due to the nature of these platforms, only using the „block user” option will prevent you from seeing any content published by the Controller. Other content available on the social media platform will remain publicly accessible.
The Controller processes publicly available personal data, such as your name, surname, and any other information you have shared on your profile that is publicly accessible.
4. Use of Social Plugins
On the website https://mwtsolutions.eu/, we use so-called Social Plugins (“Plugins”) from the social networks Facebook and LinkedIn. When a user interacts with a plugin, cookies are used to identify the user and initiate a request.
Once the plugin is activated, the user’s personal data is transferred to the respective plugin provider and stored on its servers. Since the plugin provider collects this data primarily through cookies, we recommend deleting all cookies using your browser’s security settings.
MWT SOLUTIONS S.A. has no influence over the data collected and the processing procedures, nor do we have knowledge of the full scope of data collection, the purposes of processing, or the storage periods. We also do not have information regarding the deletion of data collected by the plugin providers.
By using the plugin mechanism, users can integrate with social networks and interact with other users, which allows us to improve our offerings and make them more aligned with user preferences.
The legal basis for the use of plugins is Article 6(1)(f) GDPR (legitimate interest).

5. Data Retention Period
MWT SOLUTIONS S.A. processes and stores personal data for a period depending on the legal basis that constitutes the lawful ground for processing:
- If you have contacted us using the contact form on our website, your data is processed until we provide a response. If you are interested in our commercial offer, your data will be processed until a contract is concluded with us or until a negative decision is made.
- If you have subscribed to our newsletter, your data is processed until you withdraw your consent, i.e., until you unsubscribe from the newsletter.
- If you have given us your consent for telephone contact, your data is processed until you withdraw your consent for personal data processing.
- In the case of email correspondence, your data is processed for a period of 5 years.
- If you have participated in our webinar, your data will be processed until you withdraw your previously given consent for personal data processing.
- If you have participated in our training, your data will be processed until the contract is fulfilled and for an additional 5 years, counted from the end of the calendar year in which the training payment was made.
- Satisfaction surveys are sent to you no later than two weeks after the completion of the training, webinar, or other event organized by MWT SOLUTIONS S.A.
- The data of users who have liked or are following the business profiles of MWT SOLUTIONS S.A. on social media platforms (Facebook, LinkedIn, X, YouTube) is processed for as long as you follow our profiles.
6. Rights of Data Subjects
Every individual whose personal data is processed by us has the following rights:
- Right of access to personal data,
- Right to rectification of personal data,
- Right to erasure of personal data,
- Right to restriction of processing.
Additionally, when we process data based on the legitimate interest of the Controller, you have the:
- Right to object to the processing of your data on grounds relating to your particular situation, unless we demonstrate compelling legitimate grounds for the processing which override your interests, rights, and freedoms, or for the establishment, exercise, or defense of legal claims.
Furthermore, when we process your data based on your consent or for the performance of a contract, you also have the right to data portability.
If you have given consent for the processing of your personal data, you have the right to withdraw your consent at any time, without affecting the lawfulness of processing carried out based on consent before its withdrawal.
You also have the right to lodge a complaint with the supervisory authority, which in Poland is the President of the Personal Data Protection Office (PUODO).

7. Requirement to Provide Personal Data
Providing personal data when submitting an inquiry via the contact form or engaging in email correspondence is necessary in order for us to respond to your questions and for general communication purposes.
Providing personal data for the purpose of receiving the newsletter or for telephone contact is voluntary.
Granting consent for the processing of personal data in connection with participation in a free webinar is voluntary; however, without such consent, participation in the webinar or downloading the recording will not be possible.
Providing personal data when registering for training is necessary to conclude a contract for the organization of the training.
Participation in a satisfaction survey is voluntary.
8. Data Recipients
We disclose personal data to other entities based on legal requirements or in connection with fulfilling the purpose for which the data was provided to us. At the same time, we declare that we only use the services of trusted entities, well-established in the local market, that provide guarantees of data security. Contracts under which we entrust the processing of personal data include provisions requiring appropriate safeguards to ensure the confidentiality, integrity, and availability of the transferred data.
Your personal data may be shared with entities that provide us with IT services (including website hosting).
If you have subscribed to our newsletter, your data may be transferred to a company providing IT support in order to deliver the requested service.
We also use a cookie management tool.
Additionally, we rely on external platform providers for the organization and registration of webinars and online trainings.
For the handling of all correspondence, including email communication, we use tools provided by Microsoft.
For database management, we use solutions provided by ZOHO.
For conducting satisfaction surveys, we use tools provided by ZOHO Survey and Microsoft Forms.

10. Profiling and Automated Data Processing
Profiling is a form of automated processing of personal data, which involves using personal data to evaluate certain personal aspects of an individual, in particular to analyze or predict elements concerning that individual’s work performance, economic situation, health, personal preferences, interests, behavior, location, or movements.
We perform profiling for the purpose of tracking online activity and identifying your interest in our services.
By visiting our website, you share your IP address with us. This allows us to track your activity on our website. If you use our contact form, the data you provide in the form is synchronized with the IP address.
While tracking activity on our website, we assign points to IP addresses for each action performed on the site. Once a certain number of points is reached and in the case of using our contact form (i.e., after synchronizing the provided data with the IP address), our sales team may decide to contact you in order to offer our services.
If you do not use our contact form (meaning no data synchronization occurs), the points assigned to IP addresses are reset after 30 days.
